Purpose of the Meeting The business meeting, under discussion, was convened for the purpose of re-structuring the compensation plan and policy. The board of directors decided to address this issue after thoroughly studying the HR manager’s report concerning the prevalent employee dissatisfaction in pay structure. The board settled upon revitalizing the compensation policy and entrusted the HR director to come up with suitable proposals accommodating the shift. Physical Setting of the Meeting
The meeting was set in a conducive environment. The enclosed room kept from any noise and disturbance. All the group members sat around a table while the group leader gave his opening address before the rostrum. Leadership involves a variety of skills and roles which primarily include effective communication skills, active listening skills and the ability to steer the members of the group to the laid down objectives. He kept all the other group members engaged and encouraged them to come up with their unique view points to address the compensation issue. The director was found highly organized as he went across every participant’s proposal one after the other.
After giving the opening address wherein he highlighted the objectives as well as key points to be discussed in the meeting, he also gave every group member 2 – 3 minutes to present their ideas and studies. Positive Aspects of the Meeting The following were observed as the meeting’s positive aspects: 1. The decorum of the meeting was upheld. 2. The formal yet mild atmosphere allowed for lively and engaging discussion between the group leader and the group members. 3. Effective leadership skills permitted the director to keep the group members focused and attentive towards achieving positive outcomes.
Negative Aspects of the Meeting The following were observed as the meeting’s negative aspects: 1. Employee participation should have been encouraged. 2. The managers did not make use of presentations to present their viewpoints. Comments and Conclusions The knowledgeable encounter with a formal group offered the author deep insight into the group dynamics and process. Formally structured organizations establish groups and teams to attend to all their important issues.
